As a receptionist, you will be at the forefront of the company delivering quality and professional service through greeting incoming clients and guests and answering telephone calls. Your job duties will not be limited to receptionist duties, you will also assist in other administrative matters such as assisting in travel and calendar management, maintaining office supplies and coordinating with internal and external events. Description Accurately plan and organize meeting room reservations and assist with meeting room set up for presentation as required; Greet clients/visitors, prepare and monitor visitor access cards and maintain security awareness in the reception area; Receive, screen and redirect incoming calls and relay telephone messages as required; Responsible to send the new joiner welcome email and arrange photo shooting appointment for them; Coordinate and expedite internal events' catering arrangements and requests; Determine/assign desks for visitors and short term consultants and prepare the visitor notice accordingly; Maintain an up-to-date staff telephone list, restaurant discount list, staff photo records and lost and found records; Responsible for the stationary ordering for staff; Responsible for all business cards, stationery, corporate printing including letterhead, envelope and ad hoc external printing as well as process payment requests; Tend to other ad-hoc admin duties when required. Profile At least 3 years relevant experience within financial services or at a sizeable company Excellent interpersonal skills, a strong communicator who is approachable and friendly; Quick to learn, able to work independently when required and use your own initiative; A key team player, enjoys helping others and leaving a good impression; Strong organisational skills, orderly and tidy in your day to day job duties; An excellent command of written and spoken English is a must; Immediate availability is preferred.
